How do you make a telegram group to send messages to a specific group like mentioned here? "This allows you to either create groups with friends to collectively save content. You can even create a group with you and the Capacities bot to save content to different spaces."

Am I formatting this wrong? Sending this in Telegram but isn't showing up as a to-do "[] Charge GoPro #tasks"

Seems to be when I add the #tasks to the end of the [] Example is when the To-Do no longer works. So basically you can't add a #tag to a To-Do from Telegram currently.

Question for everyone - how do you decide when you use a tag and when you start a new Database/content type? I'm having difficulty deciding which to go with. I like the organization of the DB/content type, but using tags has much less friction associated with it, and without mobile, this is mostly what I've been doing for quick capture. Would love to hear everyone's thoughts on this! Thanks in advance!

Hello! I am trying to build a workflow between Evernote (used as master capture tool and Library) and Capacities (as the creative/idea factory), and seeing the feature of embedded links, I thought that could be a great solution, to simply link a note from Evernote, and re-organized them in Capacities (no export/imports, and I would imagine changes on evernotes would carry to the embedded frame in Capacities). Sadly, i get this error message ..

Any idea if there would be a way to make this work? (edited)

I have several hundred people in Roam using the 'namespace' - so they look like [[per/Sam Spade]] - any thoughts on how I'd import them into capacities w/o making a big mess?

Do you have a sense of how performance will be with a lot of pages/entities? In Roam I have ~3900 pages and ~27000 links. And it's soooooo slow! I have to wait so long for my cursor to actually be where I put it so I can type sometimes that, I feel like I spend half my time waiting (which is terrible!). I do have it open in several browsers at once. But still. Wondering what you guys think Capacities' performance would be like. (edited)

Another question - I could swear I saw something referencing 'hierarchy' in the app - an implication that there was a function related to 'hierarchy' (as opposed to the discussion about the hierarchy of databases) - but can't find that now & google isn't helping. Did I imagine that, or is there a functional piece of the app labelled something like 'hierarchy'?

The above was incorrect of me. You can open capacities.io on Chrome from mobile and then change to View as Desktop from the Chrome settings. You can then login to your account

Any hints on when it might be released on Android?

When you enter a description for your new property, where do you see that once the property is created? I can't seem to see it displayed anywhere (I was using it to prompt me to use the same terms each time) -- alternatively, is there a property (or should there be) that allows you to set a list of allowed variables?

Hi All, Question if task management is introduced will this be kind of a Content type or like the checkboxes currently available? I hope checkboxes because of the flexibility. Currently working with Amplenote and it works well but i miss the structure you provide.

No, that's currently the only way and also the reason why tasks will be introduced as a content type

In the context of Capacities workflow, what is better to use for organizing info by topics: tags or MOCs? In Obsidian worlds, people mostly use MOCs for topics, and tags for note status/type, but I feel that Capacities has different philosophies behind tags and they are more powerful, so interested in your thoughts.

And another quick question about how to store literature notes: for example, I saved a Youtube video or article. For now, I have a custom Video and Article database, where store my notes about it. So I actually have this video twice: in the Video/Article Database and Weblinks Database. And I'm wondering - maybe it's more efficient to have notes entirely in Weblinks itself, and then divide different types of media by collections? This way I already had cool automatic image preview for notes (instead of plain text in custom database) and also had one entity instead of two. Maybe I overthink it a bit, but still intrested in different opinions

When trying to access capacities this morning it said it lost connection and now I'm just getting this screen. I cleared the browser cache (chrome) and restarted. Sill no good. At one point I got a login screen but when I entered my details it said they were incorrect. But each try after that has given this error. I became aware of this problem around 1:45am CET (I'm actually in australia). Note: I cannot use the feedback or bug reporting on site because it won't let me log in. (edited)

We are really sorry, we are having a server outage at the moment, we will fix it asap. It could take up to 5 hours at the longest. Each time this happens we investigate what caused it so won't happen again.

I have read this now a couple of times. This is wat notion lacks, Roam did but was unmanagable, Amplenote has but still not enough structure. Evernote is trying to create but also lacks of structure. It would be awesome! Can't wait.

I'm wondering how you guys seperate links from tags. I often decide to create a note for something that was a tag before. It's a little cumbersome to then have to replace all the occurrence of the tag with a link to the new note. But keeping both the link and a tag with the same name is confusing in the long run.

I'm curious about this as well. So far I haven't done a whole lot in this respect, but I added a Food log tag, and I've just been tagging that then listing the food I've eaten that day under it in Daily notes. When I click the tag, I get a daily account of my food sorted chronologically, so for that it's worked out well. Excited to see what others are doing in this respect.

I think the next update will bring better date handling. Then you can add your journals anywhere, add the date and have it automatically linked to your calendar. I think this is better than having everything in your daily notes.

In the settings for custom types, there are two checkboxes: "Hierarchy element" and "Prefer full page". I've checked the documentation but can't find any extra information on these. What do these mean and what changes in the behavior of Capacities when you check or uncheck them?

Meantime does anyone know if I can point my pCloud storage system to a folder somewhere on my Mac where it can back up the various pages, images, diary entries...etc that I'm building up? Hi @BERKz, we currently only have markdown support for headings and certain shortcuts such as lists. There is no markdown support for inline elements (yet). But I think it could make sense for inline code elements. Feel free to add it to the feedback board (https://capacities.io/feedback), so other people can vote on this feature.

Just confirmed it's working fine in Edge just not Chrome. Which is strange because I thought they used the same rendering engine.

Looking into it right now, but kinda hard to fix because it works fine on my machine.

No problem. I totally understand that. I deal with that sort of issue all the time at work. It's hard to fix something you can't see. I don't have any weird settings turned on in Chrome but feel free to let me know if you want me to look up anything on my machine. I will say it is consistent between Chrome on my home PC and my work PC. Both are running the latest Chrome.

Thanks for digging. Good news, I found the problem! You should see the issue if you take your zoom to 90%. I was doing that to be able to fit a bit more on screen. I soon as I reset it to 100% its all good again.

@Fred Markle @Michael_v_H good sleuthing Fred. I checked mine and my zoom was on 110% which was rendering the problem. When I change the zoom up or down the bullet is correct spacing again.

Yes, that helps a lot. I will make sure that it renders nicely independent of zoom level.

Reloading helps because images you upload to Capacities get a signed URL for privacy reasons which expires after a while. If you reload, new signed URLs are generated again.

There exists a ticket for this on our feedback board: https://capacities.io/feedback/p/google-calendar-integration Feel free to vote on it to increase its priority. We're currently testing the Desktop app internally and it will be released soon. Mobile is still quite a bit in the future and will not be launched any time soon. Thanks for asking. You cannot change the naming of that for pages but you can define your own custom types. See more about this here: https://docs.capacities.io/tutorials/custom-content-types.html. Currently, this is not possible. We'll ship an update on tags soon which will display the number of visible elements so you can filter for example for tasks that are not completed and you'll see the progress. Hope that helps

Good question. For now, it's not visible to users but we also don't enforce the limit at the moment. This will be added at some point, but for now you don't have to worry about it. Btw. just uploaded media counts to your quota. Media added via links from the web are not added.

PDFs via email attachment are corrupted / unviewable -- I don't know if this is a bug I should report or if I'm doing something wrong... I'm forwarding to the save@capacities email with PDF attached and as of the last few days the PDFs are not coming into capacities correctly. I can see the PDF entity with the filename but the file is corrupted in some way and cannot be opened. If I download it from capacity it also cannot be opened. But if I look at the sent email, I can open and view the PDF attachment. There is one I sent on 24 August and that has worked correctly and is viewable. (edited)

Hello everyone! I have a question concerning tags and links. Let's take "neuroscience" as example. How do you decide if you create a tag for this topic or a dedicated page you can link to? I think both have their advantages. I like the tag page for "neuroscience" where I can edit the views of the tagged content (as wall, as gallery, as table...) and have a really nice overview of everything connected to "neuroscience", but in the backlinks section of a "neuroscience" page I can see the whole content of linked pages. So, I am curious, how are you dealing with the decision "tag or link"?

Not sure if the issue is on my side but I've had several syncing and forever-loading issues since the last update. It often happens when I'm loading a database or trying to link a page.

(Reflect's philosophy is that you should never have to ask yourself a question whether it's OK to submit information to your tool for thought. To support that, they have 1) full offline mode so you actually always can access it and 2) end-to-end encryption so you don't have to filter yourself)

I personally use a mix of tags and collections with tags being focused on topics where I want to gather several entities (eg: "economics" where I can have all economists, videos, books, etc grouped in one place) and Collections being a subset of each entity (my People entity has a "Politician" collection for instance)

If you use two windows on your computer next to each other Capacities now has a local state for the side panels so you don't have to open and close them anymore.

Yes same here. I try to always ask myself what I would look for in the future to find that note again and usually it's pretty clear between tags and collections. At the end of the day, I feel that going with the flow works better than forcing a system that doesn't work 100%!

Hi @ro.hitta, no, the notes will stay even if the weblink/url is deprecated or not reachable anymore. When we go deep into media improvements and annotations in milestone 6 (https://discord.com/channels/940596022344843336/1009120665032470539/1009223999571624066) we might add a feature to save the webpage as document/file, but probably as a condensed version similar to read-it-later apps. Is it important to you that the whole page is archived as is, exactly like it's displayed in the browser?

Hi @robertandrews, that's a bug, thanks for sharing. The reason why is that standalone links at the start of a normal textblock are transformed into link blocks (normally when pasting a link into an empty block, that's what you want). We are working on improving that behavior (and show a dropdown asking you how you want to display the link). At the moment, if you add any other characters before or after (or use list formatting), you should be fine.

The block with the PDF is an entity (~it's own thing), that's why you can't indent other blocks below a PDF. The same applies to any other entity that is linked as a block. Do you know what I mean? Not saying that that's perfect yet, but that's the reason it behaves that way.

Any PDF I try to add from a URL does not get added in a way that can be viewed. I have to download the PDF and upload it to Capacities for it to show.

This depends on the content-security-settings of the server where the PDF is hosted, which we can't control. We could download the PDF via URL in the backend on our servers to circumvent this. We will add this in the future when we got time for it.

In one of the next updates we'll make the date links editable: When ctrl- or cmd-clicking them, the date picker will open and you can edit the date and time.

@tatqoo, you are right, Last Updated is not working as intended from a user perspective at the moment (at the moment it's a technical property used for syncing that also tracks all metadata of the content). We'll make the Last Updated work as expected soon.

that's fine, but you understand the process you're suggesting, just to start typing with a tag..? it's involved... while all the possible manipulations are very cool, dont let them get in the way, by adding friction to a user actually adding content.. as a word of encouragement!

Sure! they got a special thing! I'm piping up with this so they dont end up like devonthink, or Infoqube with eleven sidebars, six dropdown modals, and a manual the size of a brick just to make it work.. The Architecture of what they choose to do at this stage is uber-important too! yes?

I think that's a great way of handling it. You can use the toggle go group your meetings.

I think this may be a bug, but I would like to ask you guys. If a collection is embedded in the Daily note template, then when you create the daily note a new Collection is created with the Copy word in the name instead of just embedding the contents of the collection. I am 100% sure it was working a week ago when I created the template. Now it is not working.

We disabled it recently because some users found it too opinionated to automatically add tags to media items. We might add this as an option in the settings where each user can enable/disable it to his/her liking.

Good morning. Regarding Shift+Click to open something on the side panel. I think there is something to be discussed about the weblinks. Shift+click automatically embeds the link which is good in some cases. Say I have a YT weblink saved, with notes in it and I want to see the Weblink not embedded on the side panel. It would be great if you could add an option for it. (edited)

What is great though, is you can link [[Today]] in your page and then you can open the daily on the top of the sidepanel and we can edit daily log no matter which page we have opened on the main area. Brilliant.

Could linked blocks be also shift clickable, please? This is a great functionality but it is inconvenient to embed the link again as Inline, especially that the default embedd is link block and you cannot convert it back from inline to link block. Could you please add Shift+Click 'somehow' for the linked blocks? I know Shift+Click opens them as a page and that different user would prefer different behaviour after Shift+click. maybe a setting ?

For the records. There are two default embedding methods. It is Inline if you use [[]] inside a text and it is Linked block if you use [[]] at the beginning of the line. I should be able to handle Shift+click knowing this.

It's not a re-use. Say I have a nicely formatted group with colors and a structure. It's more like a template. It's just faster to press Ctrl+D than to Ctrl+C/Ctrl+V.

Hi @PierLuigi, welcome! No collab is not supported yet. We want to focus on creating a really great tool for individuals first before we try to tackle team and collab. It is on our long term roadmap though.

It's not a re-use. Say I have a nicely formatted group with colors and a structure. It's more like a template. It's just faster to press Ctrl+D than to Ctrl+C/Ctrl+V.

I understand that. Ctrl+D does not duplicate your blocks, only entities. It's important to leave it like this because otherwise, you wouldn't have an option to for example create a copy of a page. That's why we distinguish here. Hope that makes sense.

On the daily page, then from the details of the weblink. Nothing worked. It comes back after couple of seconds. Initially you may think that it is gone, and then bam!

I discovered it while trying to prepare the screenshot with the two small embeds. Added the third and some text in the third column. Then removed the contents of the third column but it came back.

@tatqoo I added these issues to our board but it would be great if you could quickly file a ticket for bugs. That allows us to process them way more organized and faster. We'll look into all of them.

@Steffen Typically I create a ticket when I am convinced that something is a bug. When I am not I prefer to ask here first.

Tag colours : I've had a search around and can't see if there's a way to set a default colour when creating tags, rather than the way it selects a different colour each time? Or a way to batch re-colour tags?

I think a dedicated task system is underway, but the way I've worked around this is to create a "todo" tag and then embed that tag on the page where you want to see all of them, and then add filters to display only the ones that are not done, filtering on a checkbox property.

I have created a separate database for to do's until the task system is under the development and I sometimes use tags as well. (edited)

using a separate database (instead of only a tag embed in a page) has the advantage of having a search through all "todo" list.

@trexxy, I think we have to go over the pattern detection for writing dates, definitely needs some tweaking from our side. As @Steffen said, we'll also improve the documentation afterwards.

Not sure if it matters from your perspective, but to be clear: this was happening while using the / or [[ notation to find something while typing. I don't know if regular search was affected.

The latter is true, it relies on the URL. It's very interesting to have discussions but we are considering an option that allows you to store that image in your assets. What's your opinion on this?

about 30 seconds in their documentation... it's pretty simple... and powerful! (not being cheeky.. but probs is best practice, and thoroughly worth the time!)

Here is a link to the docs: https://docs.capacities.io/tutorials/custom-content-types. About best practices: It really depends on your flow and style. I see the properties of a type as a template for me to create this type so I'd add properties that you want to have as a "structure" for that type. If you want to filter, sort, etc. this could also influence your property design. Otherwise, a type does not necessarily need to have a lot of properties, the mere differentiation between types (and therefore also databases) is very helpful

Quick feedback on those lag spikes: I'm getting them when using a search per type (ie: when using @ and selecting a specific type). The app then lags for several seconds, but it's fixed by reloading the page. It does not happen when I'm using @ without choosing a type to search in.

It happened when I deleted the default Space & made a new fresh one. Did anyone else encounter the same issue & how can I resolve it? An inbox is indeed planned very similar to what you have in mind. Currently it's planned to be one per space. You will be able to send content (snippets, weblinks, images, ...) from everywhere (whatsapp, chrome integration, ...) to that inbox
Sending content to different spaces is already possible with Telegram. The WhatsApp API is unfortunately very limited. In Telegram you can create different groups with Capacities give them a name and define a space for that in Capacities. At the moment it is only possible for daily notes and has some limitations, but we are planning to implement a comprehensive templating system. (edited)

Sorry for my late response. I just updated the documentation to be clearer on that. After you sent the setup code you should find that group in your Telegram settings in the Capacities app. There you can select a default space for that group. Hope that helps

Not it the near future. We are thinking about shared collections that you can integrate with several different spaces and can even be used by multiple users, but it's more of a long-term thing at the moment.

Anyone come up with a web clipper work around for now? =]

I've been using Raindrop too, but sometimes I'd like to save directly into the app when on desktop. There's a 'Sendme' Telegram extension for chrome, but then you have to forward it into the Capacities bot. =]

Hi @Siavash, this is a bug, could replicate it. Will be fixed asap. Using the time stamp creates a link to today's daily note. We'll improve the behavior if you're already on that day's daily note. Thanks for sharing!

I need some advice on how to design my system for Book Note-taking:

Sorry to hear that, best option is to ask your school to whitelist capacities.io and app.capacities.io. I think there are good arguments for that since it clearly has an educational purpose.

Say for one of my businesses, I am thinking of creating a Database with Collections for Products, Copywriting, Software Stack, etc. but I just can't ever make a decision I'm happy with in TFT apps. I've definitely screwed myself crimping.

Hi @yoshidc, no, weblinks are not counted towards the 5GB, just files that you upload (images, pdfs, files, audio files). We don't display the used storage yet, but we'll add this in the future. Don't worry about it for now as long as you don't use huge amounts of media assets or very large files.

Yes, that's always a difficult question. If somethings is a fixed category for you and needs custom properties, I think it's save to create a database for this (say for example "Products"). For anything that strongly varies in its shape, I would use pages or (a more generic custom type) and use tags to categorize it.

@MalteKiesel We wanted to add this from the start but didn't find a nice layout solution back then as you would need two large scroll containers on the same page. We'll add this soon.

Where have my images gone? I've populated quite a lot of images into Capacities, but I'm not able to access all of them. In lieu of some images, I see black squares, like they're not fully loaded in, but they were before. Yes, I just did that and it seemed to help. I've gotten almost all of them back, except for several that are still "blank."

Hm, really sorry to hear that. We've had a short server outage around 24h ago, it could have happened that some of the uploads took place during that time window and the upload of some files could not be finished. There's not much we can do about the remaining images if the reload didn't help.

Since our server was unavailable for a couple of minutes, this could have been the issue. It's now running again. If you try again now it should be working.

I have tested the side panel and it is fantastic! very good job! Small issue that I don't know if it's just me: when I have a pdf in wide card view (for example) in the main panel: shift + click, open the pdf in the side panel, as expected. Now if I click again in the wide card, open the pdf in preview mode, but, I think because it's open in the side panel, the loading icon keeps running and nothing happens. I know it doesn't make much sense open twice the same pdf in the same tab, when the pdf is open in the side panel, shouldn't it be possible to open the same pdf in preview mode?

In the latest version, how do you keep open a Tab? Used to be the Tab title was in Italics until it was doubled clicked. That seems to have gone now unless I'm being dumb and missing something. Update: I found the CMD+Click action to open in a new Tab now. Need to read the new release notes more carefully. (edited)

@sundar @Kendaryth for both your questions I'd recommend to look at our messenger integrations (or email integration) (https://docs.capacities.io/reference/integrations/). There might be flows that work for you in other apps. For example, if you setup a flow in Telegram you can use the share feature on your phone to send to Telegram>Capacities which works very well (I use it every day). Feel free to explain your workflows in more details so other might be able to share their approaches.

We did this to prevent that too many tags are created without intention and facility reuse instead of creating new tags every time. We will have a look at it again, but for now, I think we will keep it the way it is.

No currently not, we have the mobile app as one of our top priorities. Until then we recommend using the messenger integrations. And that actually works quite well, you cannot edit your notes but you can at least create them.

Thank you. I'll use the telegram integration for what i'm sure i want to put in capacities, otherwise i'll use simplenote which synchronize with my PC, and transfer from there if I judge that i should save it in capacities

Hi @nesl247, no, as a title that's currently not possible. What we are thinking about though is the option to make a content type more linked to a date property to better support custom content types (e.g. "My journal", "Daily log", etc.) that are linked to a date on a daily basis. More on this soon!

Any sort of page that is date specific. For example, I created a Meal Plan type, so entry is just a new day.

It's very unfortunate to not have this already, as typing the date out is quite annoying. I don't even care if it's a special type, just adding the value as plain text is really needed.

Ok, I see. In that case it wouldn't make sense to come up with a special title for each day. In that case you could also try to model it just using blocks. E.g. create a page for each month and bullets with the meal-plan for each day. The @today shortcut is supported for blocks. You could then create a block for each day with the today shortcut and add a tag like #mealplan. Those blocks will show up as backlinks in the calendar and on the tag page for #mealplan. Sometime in the next two weeks we'll ship an update that will show each block in the backlinks individually and they won't be cropped anymore after a certain length.

Is there generally a lot of Obsidian to Capacities based friction points? I'm finding that some Obsidian based functions may be native in Capacities such as MOC's in Obsidian are basically embedded pages or collections in Capacities. Is there a forum for that?

I came across this too with attempts to create various types of logs with defined parameters, and ultimately just abandoned the concept because having to give them a title bugged me so much.

I think the easier way is to only apply this on creation, or if you erase the title.

Networked Notetaking--Specifically "Just create a new block in your text and type @. You will see the reuse menu appear that allows you to search for any of your content." Is there a YouTube or tiny video somewhere showing how? What is Reuse Menu? Is that the one that starts with Page? More specifically, I created a page called Writing System and this has my list of articles. HOW do I tell Capacities to Go Find or Show Me that page? Without creating another page by the same name but without all of the content on that page (which is what I really want to see which I call it back up). (edited)

You can add one or multiple blocks property for a new type. After you added a blocks property you can also start importing your markdown files (a blocks field is required for that)

Ok understood, it's been years since I used blocks inside of Notion, I've been using Obsidian , so it takes some getting used to. I was hoping to populate the block with static text that can be used for a template but it doesn't work. I will continue using the duplicate page (block) inside of an existing page to create my templates in Capacities. I'm looking forward to the feature updates. Thanks

In order to link to your "Writing System" page, while typing standard text on a page, type the "@" symbol or "[[]]" double brackets, a menu will pop up and you will type in "Writing System" to locate the page you want to link to, that is the Reuse Menu. I found that if you don't hit enter, the link or "page" will embed itself as a stand-alone block which kind of defeats the purpose of "linking" inside of your content. In my opinion it doesn't work well and creates confusion in differentiating between a block from a link. I would appreciate if the administrators can weigh in on this topic. I hope this was helpful.

@Georgia Patrick @Uatu1968 Both ways of linking are possible and they can be transformed. We call them block links (so the content will become part of the current one) and text links (which is a link to that content). See video. Does that resolve your question?

Great to hear, so we should add something like this to the documentation. The embed view is a simplified way of doing transclusions in Capacities. But what you're requesting is block-based linking I guess, meaning that you can include a block of content in another document. Thanks @Steffen, understood. I agree that it should be added to the documentation. Can you consider an instructional video showing how to highlight an existing piece of text and embed an internal link? Also, when I edited a pasted url into my text and used alt+enter to edit the name, the edit function does not disengage after I finish inputting the desired name. I have to hit enter, create a new block, and then backspace to the edit point to continue my text. I hope that makes sense and that you would consider a video on it too. These two embed link features are powerful and useful to me, it may help novice users to better appreciate networked note taking. Thanks.

Alrighty now!! Someone who understands. Hooray. The little demo video helps further. Your questions help even more. Thank you!! While typing TODAY's notes and then I refer to information already created in pages elsewhere, I just want to type in the name or part of the name of that page and up pops the list of pages with that exact word combo, such as "writing system." The whole imbed and inline and other choices and functions take me back into the nerdy zone of software development. That's where you confuse. I just want to type notes TODAY and link or back link to pages where I have started and added and added specific information on that topic on that page. Such as my writing list.

You ask the BEST questions! That @ and [[]] thingie is really inconsistent. Just a guess here: Capacities depends on a browser, not an app. That leaves everything up to the server for Capacities. Not a thing you can do about it locally. So, no.... it's not your keyboard or you. We simply have to keep telling the founders that we are trying to get work done here and encourage them to put their energy on getting work done and NOT cosmetics. Repeat.... NOT cosmetics. It matters not a wit if your typeface is pink or blue nor if you have pretty pictures if you can't get to the pages/notes you added a week ago or a month ago...or find it. That's it. Connect the dots!! Connect the content. That's the way our brains are trying to work.

One last note and then I must get back to writing for this morning.... Grammerly opens and works in Capacities with one tiny bug. It puts the correction at the end of the sentence. So it's more like a suggestion you can type in or copy/paste, but does not work like Grammerly works in all of your other applications.

These operations are based on triggers and not on state, that's why manually typing [[ and ]] around text does not work. I just added a ticket to enable pasting into the brackets.

Hi @ShunKoKin, we plan to make email a media type (like tweets for example) so they will get their own database and will be formatted properly. At the moment that's not possible yet. The best option would be to use the turn-into feature to quickly create an entity for the email from the daily note.

PDFs should work, did you try another one? Maybe that one was corrupted?

You can already do this with your content types. But yes, with media types it's not possible at the moment. We'll make them more powerful in milestone 6 (see announcements). Hope that helps

Really depends on how sophisticated your task management should be. A fully-fledged task management system is on the roadmap, but here's what I do: I have tags #todo #toread #inprogress which I just add at the end of a paragraph. And then you get a great visual overview of all open tasks on that tag page (in wall view). Using a content type and define it the way you want works as well of course

Really depends on how sophisticated your task management should be. A fully-fledged task management system is on the roadmap, but here's what I do: I have tags #todo #toread #inprogress which I just add at the end of a paragraph. And then you get a great visual overview of all open tasks on that tag page (in wall view). Using a content type and define it the way you want works as well of course

Using tags seems the easiest, but to link them with, let's say, another type of content, the database route worked. I guess it depends on if the tasks are written in details vs just capture the task and use linked fields to add more context.

PDFs get their own database, because we treat them in a special way. Do you have a PDFs database?

Can check later, but you should always be able to add one for example image from the + menu and then a database should be created automatically.

Hi @PulseR, you can only do this with custom content types (so not for the "Pages" content type). To add a property (or column) click the plus on the right side of the table: (edited)

You mean individual notes? No. But you can create a new content type and give it just the properties you want. All entities/entries of that content type will have those properties.

It should work like before. But a bug has been reported where the it did not work in the preview modal as expected.

When I use my iPad’s chrome browser, the input seems to have a heavy lag. I tested the input comparing it to apple notes and the lag is pretty evident.

Has anyone tried to make a Habits Tracker in Capacities? What setup do you have? I want to finally start doing it, and currently see two ways:

inline tag with to-do list in Daily Notes (simple, more flexible, can be automated with templates)
entire database with checkbox properties and embed in Daily Notes (more powerful, nice visual table of progress, but additional complexity and created manually)

I've tried setting up a page with the habit on it and have dated tasks in each page, but the amount of work it took to get it set up was a bit of a pain, so I stopped. I love the look of your embed with checkbox properties, though, very neat and tidy!

I believe sub-types are in the plans, but for now, you can use Collection for this purpose. Type - Person, Collections - Writers, Co-workers, Family etc.

Yeah, it's still public beta, so some functionality can be missing. But Steffen and Michael very responsive and open-minded, so you can easily request it on Feedback Board https://capacities.io/feedback, and they can consider it if they like the idea or see the interest of the community

I think the idea is, that you only create a new database for types where you need completely different properties. Most apps with databases work like that I think. So I use a "People" database for people of all kind and create collections for the different types (authors, family and friends, work) and additionally I have different icons for those types so I immediately can differentiate them. Same with "Literature" --> here I also have different collections with different icons (

for scientific paper,

for scientific books,

for all other kinds of articles,

for non-science).

We don’t have an eta yet, but we’ll focus on desktop and mobile first. You can already create your own task content type that you create everywhere. Not as handy as a custom system but I think it works quite well already. Depending on how sophisticated it needs to be you can also just use tags with #todo #toread #inprogress

In sync with fantastical. t's very personnal, I use a lot the timeblocking method so I need a solid structure for that. I also realized that I'm too demanding to use "all in one app" because there is always a feature they do at 80% or even 70% compare to an app dedicated.

right now I don't use Capacities for general tasks only for literature or Zettel related tasks (if there's a paper I need to invest more time for reading and taking notes or work on an existing note, work on the argument.. I use a ToDo-Tag). For tasks in general I use Taskito and maybe switch to capacities later on.

My workflow currently is the same, mostly #todo for some PKM-related and long-term tasks/ideas, which need further investigation, TickTick for the actual task or chores I need to do, and Notion for personal project management (but hope to move it also to Capacities when it'll have the relevant functions). Sometimes I also use #TickTick while journaling in Daily Notes for tasks that I need to move to my todo app. My main reason for separate to-do list apps like TickTick is fast capture (like two taps on phone), native and fast mobile app (like 0.5 sec to open task list), widget, reminders, and shared list with gf. And also I don't feel comfortable filling my PKM with stuff like "Buy milk", "Walk the dog" or any routine chores. I tried to do task management in Notion at some point when was obsessed with "all-in-one tool" thing, but it's too slow and laggy, with too much friction to add tasks. (edited)

I tried doing tasks both way in Capacities; with a #todo tag that gets removed when something is done, and with a custom type, but I found both to be kind of ... cumbersome? I'm used to the way Logseq handles tasks, (I'm spoiled by how easy it is to create to-dos inline with all the details without ever having to click anything) so the added steps ended up being a barrier for me and I ended up not really using it.

How does everyone handle Areas in Capacities? Say I have 2 businesses, I can’t decide whether to just create a collection under pages for each business, or what to do. I feel having a collection for each business makes sense until I remember that I would end up having a multitude of collections in pages and that I couldn’t just click on an “Areas” button to see all areas of my life; business and personal. So would an Area tag be best in this case, or how does everyone else do it?

Also, can we not embed databases into a page? It keeps trying to make me select an individual item from the database or collection instead of embed the whole thing

I know, not exactly what you where asking for, but if you need parts of the page to be wide, you can select a block or even several blocks and group them. Now you can change the style of this grouped "meta block" into wide or extra wide.

Yes, after that and instead of showing the sheet, it tells me that I need to login. Google also doesn’t show the login screen and instead shows a 403 error message.

You need to make sure you have set your google sheet as something shareable & if you want it to be editable or just viewable. When you have done that google will give you a url then. Then do as Steffen suggests. I think this is how I did my embed.

Hi @Dioramos , Our support for mobile devices is not great yet, and we don't recommend using it on a phone at the moment. This will be our next big project though!

You're going to have to create a new Entity, under the Weblinks Database. The fastest way to do that is to type "/" then search for the Weblinks database and Press "/" again and typing the URL. IF you already have a word you'd like to use as a label, select the word, click the ➕ button, click Weblinks and type your URL.

Here are different ways to create web links (simple hyperlinks) and web resources (links that are stored in your web links database).

To be honest, not very soon. We feel that these kind of functionalities are better served by other tools that have more of a business or data focus. We primarily want to focus on knowledge work and content and will thus prioritize other features first (we're not against it per se). If you could share your use-cases, that would help us evaluate this feature better.

Guys, something has happened to the Embed icon on the right - basically you cannot click it. Focus is lost 3-4 centimeters from the icon and it is not active. Sometimes I manage to clik it but then the menu entries are not active. Technically it is not possible to change how a link is embedded at the moment.

Yes, I did. It seems working today on the normal layout - still does not work in the ultra-wide.

I'm also rly glad as well, and impressed by attention you give to community hmmm, probably navigation & ui in Databases / Collections In Windows, Notion and most other apps you have - right click for actions, left click for dragging & left click + drag in empty area for selection, even tho i got used to 3 dots on top pretty fast, in first couple hours felt kinda limited Similar limited feel was for UI, looked much bigger & less adjustable compared to Notion, since in Notion you have more control with functions like "small text" & "small" card size But overall Capacities feel much better and adjustable, Wall view, ability to search Tags, Calendar with "Created today" thing, and rly a lot of other stuff. My personal favourite - Bookmarks are automatically converted to pages, could be mentioned, tagged, etc. I have to manage a lot of web stuff so this rly feels good compared to Notion web clippers & other workarounds So big thanks for your work!! ❤️

I'm also rly glad as well, and impressed by attention you give to community hmmm, probably navigation & ui in Databases / Collections In Windows, Notion and most other apps you have - right click for actions, left click for dragging & left click + drag in empty area for selection, even tho i got used to 3 dots on top pretty fast, in first couple hours felt kinda limited Similar limited feel was for UI, looked much bigger & less adjustable compared to Notion, since in Notion you have more control with functions like "small text" & "small" card size But overall Capacities feel much better and adjustable, Wall view, ability to search Tags, Calendar with "Created today" thing, and rly a lot of other stuff. My personal favourite - Bookmarks are automatically converted to pages, could be mentioned, tagged, etc. I have to manage a lot of web stuff so this rly feels good compared to Notion web clippers & other workarounds So big thanks for your work!! ❤️

No direct way for now, but best workaround I find is to embed tag or collection, and then filter them. For example, I have embeded tag "Blender"(a 3D modelling app) with filters tag:Tutorials and type:Video and Weblinks, so I got a list of all tutorials in my databases. (edited)

Hey, I was wondering if you are going to introduce any other paid plan? I've checked several note-taking apps like Notion, Anytype, Slite, Craft, Coda and besides the fact they all got more blocks to use (like tables that are available for free), these apps' plans are quite cheaper ($3-7). For me, who lives in Eastern Europe, $12 monthly is quite much. However if I was to use the product, I'd like to support the team and use all of the features of an app. (edited)

Currently, you can only send it to the daily note and it's not planned for the near future. We want to focus more on releasing the mobile app and API for Capacities which should make this possible.

Yes, that's the biggest difference between databases and tags. Databases hold content of one type, tags can be used everywhere and build up pages of all types of content.

No, I'd recommend using a tag for that

To be honest, not very soon. We feel that these kind of functionalities are better served by other tools that have more of a business or data focus. We primarily want to focus on knowledge work and content and will thus prioritize other features first (we're not against it per se). If you could share your use-cases, that would help us evaluate this feature better.

This will keep from being able to use Capacities until implemented unfortunately. I use formulas everywhere in my notes. For keeping track of my trading. For personal finance purposes. For date/time stuff in tasks/birthdays/holidays. Tracking habits. In my journaling for daily stats and metrics (sleep, activity, nutrition). Keeping track of my life areas -> dreams -> goals -> projects to connect them via relations and calculate for example how many goals belong to different life areas. Tracking sheet music using dates and determining how long I've been working on a certain piece. Tracking workouts and figuring out the goal weight for a specific exercise that day based on my 1 rep max and my rpe and number of reps. For periodic reviews using rollups and relations to do a lot of counting, percentages, concatenating of various fields. I mean, if you need use cases I can go all day long.

i recommend using tags

databases are not the same as folders. In a database you store items of the same type. For example I have a page called health. Thanks for outlining your use-cases for formulas, that helps a lot! @Steffen and I are also a lot into computations like these, but like I said earlier, we don't see it as the main focus/strength of the app at the moment. I hope we'll get there very soon though, but there's a lot of other stuff on our roadmap first.

We are planning some major improvements around dates in Q1/Q2 next year, so that might make some of your advanced use-cases possible.

I mostly use tags for organization/categorization.
For things that I'm working on in a longer session, I create a page (or other content types with a blocks property) and use headings+toggles to structure content and make sense of it. Along the way, I also insert weblinks and interesting images, screenshots, and resources, tag them and insert them into my toggle-outline where they best fit (I want to keep the exact context of where they are relevant!)
For certain pieces of information I want to remember specifically, I have some databases that I use as long-term storage (e.g. "Ideas", "Zettel" (short, condensed summaries with the essentials of a topic), "Vocab" (whenever I learn the meaning of new words or useful terms). Hope that helps!

I'm new to Capacities. Was using Mem previously but am really enjoying how things are getting organized in Capacities. I'm currently wondering if it's possible to display the pages that don't belong to a collection. I feel like I have some orphan pages but can't seem to work the sort/filter to make it happen. You're very welcome! Before using capacities I only used tags for status purposes (todo, done, wainting) and some other stuff. But tags in capacities are so powerful and useful, so I started using them extensively and love it

I use tags for things I want to aggregate. For exemple I have a tag "Idea". I use it mainly when I write something I want to implement in the website or in our marketing strategy. But I can have that kind of thinking at any time and a lot of time when I'm studying something else. So i write it down with the tag knowing that I will be able to find it later.

You're absolutely right! Types and properties are meant to be a kind of mental help / template -> they enforce a structure. Templates are only available for daily notes atm but we'll add them to other content types as well, estimated in January

How do I know I am using the latest version or update of Capacities? Does it automatically update itself?

Hi @minouchka, thank you so much for becoming a believer!

The page layouts are a layout setting that can be set for any custom content type. So all you have to do is go to the settings of an existing content type, and scroll all the way down. There you can set the page layout you want to use for that type. Hope that helps!

@kitennis No there isn’t a functional difference, it’s just a boon for me to have a desktop app so I can browse the web and take notes in Capacities at the same time. Of course I could use the Split Window option in Arc Browser but I still prefer having Desktop apps.

We will ship a big update to the desktop app soon (before Christmas). We hope that this will resolve your issue. Until then, we recommend using the browser version.

Yeah, that’s what I’ve had to do. I’m going to be going to my fathers house for a little bit today, I gave him my Macbook Air M1 when I purchased my Macbook Pro M1 Max 64GB so I’m planning on downloading Capacities on his laptop to test if it happens on his to attempt to rule out my PC.

Everything from uninstalling the app by deleting it to the trash, uninstalling using AppCleaner, downloading the .DMG again, downloading the x64 bit version, downloading it from a different browser, rebooting my Mac, creating a new user account on my Mac, running Disk Utility to check for errors, I tried making a new Capacities account and logging into that one through the app, pretty much anything I could think of to no avail.

Just curious, have you considered another framework, like Tauri? I’m not a programmer, but as far as I hear, Electron apps are pretty slow and everyone complaining about them

And Tauri claims that they are a lot faster and lighter then Electron because of Rust. And also promise mobile versions in future. (edited)

I agree, Tauri looks very promising. When we started developing the desktop app, a lot of pieces of Tauri were not ready yet. And we also hesitated to introduce another programming language to our stack. So overall, it felt like an too early bet to make. But we'll definitely keep and eye on it!

Our core stack consists of TailwindCSS, Vue3, TypeScript(frontend&backend), and a graph database.

@Michael_v_H that does make me feel better. I just was worried it was my PC due to another user in the Discord saying it worked fine for him on his Apple Silicon Mac on Ventura. Anyways, I just tested it on my fathers M1 MacBook Air on Ventura and it’s the same issue, so I’m a bit relieved to be honest. Now I don’t have to stress about potentially having to reformat.

I noticed that, clicking a "share link" while I'm logged in opens the note in my editor. If I share a link with another user, would they also be able to open and edit the note? or is it read-only for now, regardless if a user is logged in?

For other users than the author it's always read-only.

I try to save weblink with no image or one blank image named "untitle or image",
So I capture or copy one image to upload image insert to weblink metadata
But if I do that, the image database will put this upload image in.
if the image that capture weblink auto by Capacity, that action is none.
So I think the database of image is contaminated by this design, I just want to attach one image to that weblink, I dont want to arrange this image twice in image database.

Hi @trexxy, good idea. We first thought that wasn't necessary because it's added to the daily note which has a date. But of course it's different if you want to move it around and use elsewhere. [image paste to weblink info] If I add one image to a weblink the image database will add this image , and see it as one not-arrange image (but I just tags this weblink , I don't want to tag the image double action)

So if one image has backlinks Hope Capacities set it not in inbox

This is currently expected behavior, because your adding an image yourself, so we expect it to be valuable by itself. We'll think about a special case here
