You can create flashcards with toggles :3 first make a flashcard object, then set it to “index card” in object settings and finally write the question in the title/body and the answer inside the toggle You can create tags for every subject and then embed all of your flashcards in their respective subjects’ notes

here is a way to make it for those without the pro version :D The filters are the same, the only difference is that you create an "All Tasks " Collection where you put all of your taks, then embed that and add filters to show only the tasks you want

You can create a habit tracker by making a custom "Daily Notes" object with a date property and adding all the habits as properties. If some habits are every other day instead of daily you can add a "rest day" tag for those days You can also use this Daily Note as a journal or mood tracker :3 for the mood tracker I made a toggle list, as the toggle title you write "/now @tag" (you can have a collection of tags for different feelings. The good thing about doing it like this is that you can @ as many tags as you want, in case you are feeling multiple emotions at once) and inside of the toggle you can write what you were doing at that time or what made you feel that way Then you can customize the card view to only show the habit properties so when you go to your "Daily Notes" object page you can see all of them at a glance, and see all the progress you have done so far Finally, because it has a date property, when you go to the calendar it will automatically create a button to quickly make another daily note

TIL that you can embed indify widgets (which are very popular in Notion world) in Capacities as a normal weblink. I don't know if this is known before or not, but found very interesting, so sharing it here! Can I bulk import? Not yet, we are currently building importers for popular note-taking tools. Vote here to get updated on progress. When is x feature coming? I was wondering everyone's thoughts on AI transcriptions on Capacities, but even better, a transcription that writes and structures for you? A simple example you can try right now is https://voicenotes.com, you don't need to make an account, you can use right away. I usually do daily transcriptions then paste some of them into my calendar on Capacities One of my favorite examples is https://cleftnotes.com. Right now it's only for MacOS and iOS. You say something then it formats and structures your notes really nicely. I currently use https://cleftnotes.com to create structured notes, than immediately paste into Capacities so I can assign objects, tags and a collection to it. This is an example of my Cleftnotes, it took me 1 minutes to say what I wanted to do tomorrow, then Cleft did the rest https://www.cleft.ai/shared/mA3HNrp2J0. Those are nice tools! Personally, I prefer typing, but I can see the appeal! A little tip if you want to make the structure quickly: use keyboard shortcuts! With the structure of you clef note, you can
  • Create the note with CMD-U then type Page then Enter
  • Type the title, then Enter to go to the content.
  • Make each heading using ## then space for a level 2 heading (this is my preference, but you could use level 1 headings with a single #)
  • Type - then space for a bullet point, then CMD-B for bold, type the text, then CMD-B again to return to normal text (or you could use ### then space for level 3 headings instead) I tried to re-type your document with that method, just for fun, and it took me about 5 minutes. And in bonus, you can use @ while typing to quickly link to let's say a note on R or Endel, which gives you a nice link and backlinks structure . That being said, I can definitely see the usefulness of tools like Cleft, especially on a mobile device.

I kept trying to figure out a way to keep track of and take notes on specific singular objects, so I came up with two object types to represent very broad categories of both the tangible and the intangible: Things and Abstracts. "Things" refers to actual tangible items that exist in the physical world (i.e. devices, inventions, artifacts, buildings, even foods or clothing items), while "Abstracts" would describe any intangible construct that has some sort of definition, like philosophical terms, scientific hypothesis, religions, symbols, or any other idea, concept, belief system, etc.

I don't fully understand how to use the Zettel object. I'm reading a book and want to make literature notes. So I make a note of something I read and change it into a Zettel object. But then my note becomes the title of a Zettel card. This is not useful for me, because I want the contents of my "zettels" to contain links to other "zettels", and you can't do that in titles in Capacities. Does anyone have a solution for me?
In my atomic note I created a specific content block for "related", there I tag all the notes related to that atomic note (or Zettel) with the @

Does anyone have a good workflow for using an Inbox for incoming thoughts, links, etc that you are not ready to categorize or may even be disregarded before integrating it fully into your system. I guess you could tag it “Inbox”. Would appreciate any thoughts on this. Thx!!!
Capacities handles this pretty naturally. If you setup the dashboard of each object type with the options available, you can see if you've interacted with an item yet. That is how I process what I save through telegram.

It took me a while to decide how to use Zettles after some research this is how I do mine. Zettles are always short. I may include details or links etc. I treat them like a train of thought. Pages are the detail or context. For example in course notes I create a zettle from key words. They are a definition Zettle. These can then be linked to other Zettles pages etc. I modified the Zettle types to suit my set up.

Am I the only one that feels like the current relation property system seems a bit antiquated? Currently, when creating single/multiple select fields in object properties, you need to link them to a specific object type, but I keep finding myself thinking that it would be much more useful if these select fields acted more like queries, where you can link to objects across the entire workspace, regardless of type, then automatically grouped by type. The workflow would be: 1. Create a single/multiple select field in object properties 2. Link it to multiple objects across different object types 3. The app automatically groups the linked objects by type This would streamline setting up these fields, as you often want to link to objects across types rather than being restricted to just one type. The current approach of having to link to one specific type first can be tedious. By allowing single/multiple select fields to dynamically link across all object types in a workspace, it becomes much easier to create reusable properties and take advantage of linking objects in a more free-form manner. Basically, my proposal is to change the single/multiple select fields to just be called "relation", and you can create as many of these properties as you want. They would default to allow linking to any object, but you could configure a unique filter for each one (essentially a query). Additionally, this would be the simplest way to implement two-way relational properties, as you would not need to have the select properties match up on each side of the relation. Does this idea make sense? Has it been discussed before? I'm looking for some feedback before submitting a formal feature request. Let me know your thoughts!

Essentially it all boils down to this switch in mindset: Top-Down vs Bottom-Up There are two main approaches to organise and structure the information you collect: by a top-down or bottom-up approach. Today, most people still use a top-down approach separating what they have into smaller stacks, piles or folders with topics and sub-topics. Moreover, most popular note-taking apps impose this hierarchical and linear structure on users by mimicking the file tree of computers, where notes live inside folders and can be nested indefinitely. On the surface, this looks less complex but quickly increases as the number of notes grows and you constantly tax your mind with where you need to put things. If you sort by topic, you are faced with the dilemma of either adding more and more notes to one topic, which makes them increasingly hard to find or adding more and more topics and subtopics to it, which only shifts the problem to another level. The top-down approach reduces the likelihood of building and finding surprising and valuable connections, which means you must trade between usability and usefulness. In a bottom-up approach, we start with a simple and flat structure that allows complexity to build up where we want it: on the content level. The organisation of knowledge is fluid and dynamic, and no strict rules tell us exactly where each item should go. In this approach, we shift the question from: "Under which topic do I store this?" to "In which context will I want to stumble upon it again? You create clusters of knowledge by linking other related notes and assigning overarching tags. One of the significant advantages of this strategy is that your system becomes more and more valuable as it grows instead of getting messy and confusing. In short, just start somewhere and see where it takes you 🙂 It is pretty easy in capacities to change content types and add and/or delete properties ⭐

Why Capacities will become offline-first We recently committed to transforming Capacities into an offline-first application. This was a big step, and here's why. Offline-first for us means that you can work with Capacities on your device without access to the internet. We decided to prioritize this for two reasons: First, nobody likes loading spinners. We want the tools we use to work at the speed of our thoughts. Waiting interrupts our flow and our focus, and that’s unacceptable for us. Second, thousands of people rely on Capacities to get critical work done every day. Technology should never stop you from doing that. You can already use Capacities without an internet connection today, but not all features are available. We’re gradually introducing more offline support over time. I created a small n8n workflow which fetches my current location (geo info) by calling the home assistant api (data is provided by my mobile phone). Then I fetch the current weather info from Open Weathermap and save it then to my daily note together with my location. This runs every 4 hours. I have also other idea of information which can be logged to my daily note.

I like the visual aesthetic of that a lot, but it doesn't render on mobile at all. This alternative which is just toggles with grouped blocks renders fine and might be the simplest

I just log my Strava activities automatically to the Daily note by using n8n / Strava Webhook and my new Capacities Node. I also save the Strava activity to a database, but that's not related to Capacities. That's why the workflow is a bit longer as needed for the Capacities integration.
That's how the the Capacities node is configured.

Tables & Formulas

Hello, I recently purchased the Pro version. I am a bit stuck with tables. I want to add some information to a table column (for example, 10 rows of numbers. What I wish to do is at the bottom of the table column ( in the final row) have a running total of all the numbers in the aboe column added together. For this to continue updating automatically every time I add a new row and number to the column, Any help is appreciated.

Experimenting with making a Kanban-style board. Not very succesful because each options has limitations 1) Option 1: Make each status a tag and build queries by tag. But then I can't drag and drop from query to query (https://discord.com/channels/940596022344843336/1254514660716183638/1254652095337074741) 2) Option 2 (above). I make a new object type "box" which has no properties nor tags, so I can have a clean embeded view. No status tags on objects, just manually put all tasks in whatever column I need them in (the status tags are left over from the first approach attempt). This works very nice - I can drag and drop any object into any column and it feels very fluid. It also works with any object, including inline todos. But:
  • Cannot assign status to the objects themselves - being in column "next" is just for my benefit when I look at this view. This is not reflected anywhere in the object and cannot be used in queries or search
  • too much white space between columns. Unfortunately this is the minim…
Alternatively a cleaner column view also works

I have been using Capacities of late and thought to create a walkthrough for creating a Reading list / Library. I like creating these as it allows me to understand the app and its functionality, such as templates, properties, views, AI with a tangible outcome. ‏‏‎ ‎ Hello. I'd like to share with you my current workflow. I am new as a Capacities user and my goal for that post is to chat about possibilities to improve the workflow. Before Capacities, I was using mainly Notion and Obsidian - also several basic note-taking apps like Evernote, UpNote etc. I chose Capacities because I can access my notes online via the web (like Notion) and offline (like Obsidian). Moreover, features for knowledge management are much better than in Notion (but at this moment I think Obsidian is still better in this case). My goal is to build a space where I can build a knowledge base and manage my active projects and life areas. I love the concept of Second Brain, but I don't know yet how I can implement it in Capacities. Second Brain method helps me to think in systems and focus on projects. The second concept I use is Zettelkasten. It's highly related to knowledge management. There is a "Resources" section in Second Brain methodology, but it's too limited for me. I replaced it by Zettelkasten methodology. I will not explain what Second Brain and Zettelkasten are, because it will take too much space here, but you can easily google it. Instead, I will show you, how I use it in my system, in Capacities. At this moment (as I learn Capacities) my workflow is just a copy from the latest Obsidian/Notion workflow. Hello everyone. Recently I've been having a-lot of discussion with different people on how they maintain and run their systems within capacities. It has helped me understand so many new things and I realized that if I talk about my own knowledge management system and post about it, then it would encourage other people to do the same. That way I will be able to learn alot more from different people. So, a quick overview on how this whole article will be structured. A core part of my Capacities usage is my daily tracking in my "Beth" space. I want to know what I was doing on a given day, and the central calendar makes this so easy because most of that data is created for me. To add extra information, I created a "day" object type and added the things I want to track. They are mostly text properties. I don't want an object for everything, so the text property is flexible enough to let me write plain text, or link to an object I might have elsewhere (such as projects). I added one select property to the day object for the 'yesterday' property which lets me click through my past entries quite nicely. It's really fun to do this with graph view! Because each object has a date property, I can create each entry from the button on my daily note. There I have a template with my goals and vision boards. All of this being centred in the calendar is perfect for me, because that's where I find the daily note. I add to my daily note a lot via the Raycast extension. I've been using this system since April and it's really helped me meet my digital system goals. I was getting overwhelmed with huge number of tags for some time now and I realized I wasn't utilizing the tags on my custom/basic objects properly. I had to limit the usage, be concise and specific to both the creation of tags and their usages. So I reviewed all my existing tags today and organized them into well structured collections. Each tag is either a broad-parent tag or represents a sub-tag, topic or specific status/action. Having verified my needs, I established a defined set of collections to group all my tags. I also defined what tags will be used for each of my object type and the limit. This way I am created a well established tag cloud for everything that is added to my capacities, allowing for quick understanding and access of information. (Please refer the images attached to view my collection setup and format of tagging for each object type) Its nothing out of the ordinary, but rather to increase my productivity and working efficiency.

I wrote a small command line application (which I named Capable) that interacts with Capacities API. Sometimes I work in the terminal and I want to send a link or a command output to Capacities daily notes and with this tool, I can do just that without having to change focus to the Capacities desktop or web application. https://github.com/guitmz/capable The tool should evolve with Capacities API, I plan to provide feature parity with it in the long run. Question for anyone using 'People' objects. Do you add EVERYONE as 'People' or just people you actually know in real life? I'm building out my network of people I actually know and now I'm wondering if I should be creating a 'People' object for like.. the director of a Movie object I'm referencing, or the author of a Book object, or the CEO of an Organization object
This might help (in addition to what @lerone said). My best advice is to start as simple as possible. You'll always be able to expand and convert as you go.

Using Safari Reader View + Apple Mail to clip a whole web page (iOS 17/iPhone XS) Hi there! I was looking for a way to clip a web page and found out it can be done by enabling reader mode in Safari and then using the iOS share extension to send it to Capacities via mail through Apple Mail. Capacities won’t save the images, so you’ll have to attach them if you need them. Using Firefox or Brave reader mode doesn’t do the same. It populates the email just with the title (in the Subject) and URL (in the body). Overall, I find it a good workaround until the web extension is revamped and we have a mobile clipper.

After reading numerous showcase posts in the Capacities Discord, I noticed that people who frequently deal with information or write extensively often use a 3-Stage method to track content versions and avoid mixing first drafts with final content. Although I don’t deal with writing as much, the idea of differentiating between various versions of information I’m working on seemed very useful. The 3-Stage concept (Pre-Writing, TUFG, Final Content) didn’t quite fit my needs, as my information evolves over time. Therefore, I streamlined the idea further and developed my own solution to this issue. My solution is called “Versions.” Sincere tags to @gladiator and @Minny for posting about their setups and introducing me to these methods and allowing me to think, come up with methods that suit my own needs and improving my setup. ------------------------------------------------------------------------------------------------------ Content Versioning System: x.y.z Approach I created this method for managing the different drafts and versions of my ever-growing content called - "The Version x.y.z Approach". It is a systematic and widely-recognized method for tracking changes, commonly used in software development for its clarity and organization. This approach can be effectively applied to content management as well. Structure: S: Stage (e.g., D, U, R, F) Y: Major Version Number Z: Minor Changes Different Stages: D: Dump Draft – The initial draft where ideas and information are gathered without concern for structure or polish. U: Ugly First Draft – The first draft that starts to shape the content but still needs significant refinement. R: Revised and Pre-Final Draft – A more polished version, incorporating revisions and nearing the final content. F: Final Published Content – The completed and finalized version ready for publication or distribution.

Hey all, I'm working on writing up how I use Capacities. I'll eventually move to Showcases when done but here is what I got so far. In the PDF is an overview of my system with screenshots of object types, example dashboards, tags, and queries. “I use Capacities to capture important, highly referenceable, and long-lasting information. Capacities' superior organization, tagging, categorization, and search with mobile access make it ideal for me to store all my personal and work information. My starting point each day is my "PKM Home" which is a dashboard that surfaces relevant information for my day including ongoing Projects, upcoming Trips, and any content that has been recently modified (sorted by last modified date). “

Hi everyone! After a lot of tweaking and iteration I finally landed on a review system that has been serving me well for a couple of months now - I hope this will prove useful for some of you 🙂

Daily Note Template

Just a "done list" in a grouped toggle block to keep track of what I have done that day, and a blank space for notes. The backlinks below mean that my weekly & monthly notes are always within reach, which is incredibly convenient in everyday use.

Weekly Note

My weekly note serves two purposes: I use it as an active tool during the week to keep track of what's important, and I use it later (during my monthly & yearly review) to reflect on what I did in that time. I use the body of the note for everything I actually refer to during the week (since it's embedded into my daily note anyway) and put everything I want to track & refer back to later in properties (making them easy to see at a glance in table view).

Weekly Note template

On the right, I have one line per day to give me a quick overview of the week (thanks to Meg Shinagawa and her great Bullet Journal video: https://www.youtube.com/watch?v=Ic0-ykTFbUs ). On the left, I have four toggled headlines:
  • What's up: All the important appointments, tasks & headlines for the week
  • Don't forget: What I'm currently thinking about or an affirmation of some kind
  • Looking forward: Incredibly important to remember what you're looking forward to
  • Next week: Everything important happening next week

Weekly Note properties

Here is all the stuff I'm tracking for posterity. In order:
  • Focus: The most important thing or a general intention for the week
  • Intensity: how eventful the week was, from 1 (monotonous) to 4 (stressful)
  • Summary: A short summary of what happened
  • Calendar: The date property, tying it to the actual time
Hidden properties:
  • Done: What I accomplished this week
  • Energy +: What gave me energy
  • Energy-: What drained it
  • What's arising?: What I should pay more attention to

I've come up with a Weblink query for finding primary, top-level domains that I've saved. Using the ends with modifier on a URL property filter group, you can filter out all of the subpages and complex URLs to essentially make a quick snapshot of the core sources in your weblink collection. Of course, you could also expand on it to only filter out certain tags or collections, and sort it alphabetically by name or even number of backlinks (especially useful if you're using Capacities for research).
